2. What data we collect and for what purpose

We process personal data for the following purposes:

  • Contact form and consultation booking – first name, last name, email address, phone number, message content. Legal basis: Art. 6(1)(b) GDPR (performance of a contract or pre-contractual steps) and Art. 6(1)(a) GDPR (consent).
  • Contract performance – data necessary for providing IT services, issuing invoices and settlements. Legal basis: Art. 6(1)(b) and (c) GDPR.
  • Marketing – sending service information exclusively with your consent. Legal basis: Art. 6(1)(a) GDPR.
  • Website analytics (Google Analytics 4) – to measure traffic and analyse user behaviour we use Google Analytics 4 (Google LLC, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA). GA4 collects anonymous data: visited pages, session duration, country, device type. IP addresses are anonymised before storage. Data is transferred to Google on the basis of Standard Contractual Clauses (Art. 46 GDPR). You may opt out of tracking by installing the Google Analytics Opt-out Browser Add-on. Legal basis: Art. 6(1)(f) GDPR (legitimate interest).
  • Google Tag Manager – to manage analytics scripts we use Google Tag Manager (Google LLC). GTM itself does not collect personal data — it is used solely to load and manage other tags (including GA4). Legal basis: Art. 6(1)(f) GDPR.

3. Data retention period

  • Contact form data – up to 12 months from last contact or until consent is withdrawn.
  • Contract-related data – for the duration of the contract, then for 5 years (archiving obligation).
  • Marketing data – until consent is withdrawn.

4. Rights of data subjects

You have the following rights:

  • Right of access to your personal data.
  • Right to rectification of data if it is inaccurate or incomplete.
  • Right to erasure ("right to be forgotten").
  • Right to restriction of processing of data.
  • Right to data portability in a machine-readable format.
  • Right to object to processing based on legitimate interest.
  • Right to withdraw consent at any time, without affecting the lawfulness of processing carried out before withdrawal.

5. Recipients of data

Your data may be shared only with trusted entities supporting Codence.pl's operations, including:

  • hosting and server service providers,
  • customer service software providers (Codence-Klient system),
  • email and postal service providers,
  • Google LLC (Google Analytics 4, Google Tag Manager) – 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA. Data transferred outside the EEA on the basis of Standard Contractual Clauses (Art. 46 GDPR). Google privacy policy: policies.google.com/privacy.

We do not sell or share your data with third parties for marketing purposes.

6. Cookies

The codence.pl website may use cookies to ensure proper functioning and traffic analysis. You can manage cookies in your browser settings. Disabling cookies may limit some functions of the site.

  • Necessary cookies – required for the site to function.
  • Analytics cookies (Google Analytics 4) – allow traffic measurement and service improvement. Cookies used:
    • _ga – identifies unique users; stored for 2 years.
    • _ga_* – stores session state; stored for 2 years.
    • _gid – identifies user session; stored for 24 hours.

We apply appropriate technical and organisational measures protecting your data against unauthorised access, loss or destruction, including SSL/TLS encryption, access control and regular security reviews.
